Terms and Conditions for all Bookings

Please read the following terms and conditions of booking with Western Front Battlefield Tours.

Tour Payment

The deposit of £100 (or € equivalent) per person (or full payment if booking within 8 weeks of departure) must accompany a completed booking form. Deposits for private tours vary according to the construction of the tour to meet the individual’s needs. The person signing the booking form authorises and is responsible for the booking on behalf of those included on the form. Final payment for the tour must be made 56 days before the tour departure date. Bespoke Western Front Battlefield Tours will provide a written invoice for both deposits and final balances to the lead passenger for any group booking.

Tour Price

All prices quoted are guaranteed, and Bespoke Western Front Battlefield Tours will absorb any currency fluctuations, hotel or travel price increases.

Alteration/Cancel of Scheduled Programme by Bespoke Western Front Battlefield Tours

Bespoke Western Front Battlefield Tours reserves the right to make adjustments to a published tour itinerary for administrative reasons or in the interest of travellers. If prior to the tour departure Bespoke Western Front Battlefield Tours has to make a significant change owing to unforeseen circumstances to the tour departure, travel times, battlefield location, method of travel or hotel venue, you will be advised immediately and an alternative tour (subject to availability) or a refund in full will be offered. In the unlikely event that after departure Bespoke Western Front Battlefield Tours is unable to provide a significant proportion of the tour package, suitable alternative arrangements will be made at no extra cost to you. If it is not possible to make suitable alternative arrangements, or they are not acceptable to you for good reasons, compensation will be made by Bespoke Western Front Battlefield Tours.

Transfer of Booking

If you are prevented from joining a tour, you may transfer the booking to another person or another tour (subject to availability) provided that Bespoke Western Front Battlefield Tours are informed before the tour departure and agree to the transfer. The transferor or transferee are jointly and severally liable to Bespoke Western Front Battlefield Tours for any outstanding payments.

Cancellation of Booking by You

If you are forced to cancel a booking, a verbal notice of cancellation must also be confirmed in writing to Bespoke Western Front Battlefield Tours. Refunds of payments apply on receipt of written notification by you as follows:

More than 56 days before departure you will lose your deposit

43 to 56 days before departure you will lose 55% of the cost of your tour

29 to 42 days before departure you will lose 70% of the cost of your tour

15 to 28 days before departure you will lose 85% of the cost of your tour

Less than 14 days – no refund, you will lose 100% of the cost of your tour

Travel insurance may meet any cancellation charges, subject to the insurer’s terms and conditions.

Private Bookings (non-scheduled tours)

A deposit of 25-30% of the total cost of the tour is required. In the event that you cancel the tour, your deposit will be refunded minus any payments that Bespoke Western Front Battlefield Tours has made to secure the following: – Accommodation (hotel rooms) – Travel & Transport (ferry, Eurotunnel or coach hire) A 10% administration charge will also be levied. The above also applies should you cancel the tour after full remuneration has been made six weeks prior to the departure date of the tour.

Insurance

It is a condition of booking that all travellers are covered by comprehensive travel insurance and do not travel against medical advice. Most claims against travel insurance are for cancellation owing to illness etc. Details of the insurance arranged must be provided to Bespoke Western Front Battlefield Tours prior to the tour departure.

Travel Documents

You are responsible for ensuring that all passports and any necessary visas are valid and effective.

Minimum Numbers

If the number of bookings received does not meet the minimum required to operate the Tour (4 for our standard group) by 42 days prior to the Tour departure, Bespoke Western Front Battlefield Tours will inform you of the cancellation of the tour and an alternative Tour or a refund in full will be offered.

Bespoke Western Front Battlefield Tours Responsibilities

Bespoke Western Front Battlefield Tours are responsible for the operation of the tour and the proper performance of all suppliers contracted to the Tour package at the standard of service published. Bespoke Western Front Battlefield Tours cannot be held liable for damage or additional expense to you as a result of unforeseen circumstances which could not have been avoided, even if all due care had been exercised, for example;

  1. a) Any act personally attributed to you; b) A third party unconnected with the provision of the services contracted for; c) Circumstances relating to Force Majeure (war, threat of war, riot, civil strife, industrial dispute, terrorist activity, natural or nuclear disaster, fire); d) Alteration of ferry timings by ferry company.

COVID-19

The continually changing situation due to the Coronavirus global pandemic means that Bespoke Western Front Battlefield Tours have to operate within guidelines stipulated by both the UK and other European Governments, which may be subject to change. We will ensure that all international guidelines are adhered to, to ensure the safest possible environment for our clients. However, we strongly recommend that all clients familiarise themselves with the latest Government advice for travel to Europe.
